For actors' agents

The phone rings. The rest happens here.

My Agent Called is the office system for actors' agencies. Log a casting director's call while you're still on it, check your client's availability, and follow the submission through auditions and recalls to the booking. Then invoice the job and pay your client, with the whole team working from the same records.

Sound familiar?

The everyday problems it fixes

If your agency runs on phone calls, email and a spreadsheet, some of these will be familiar.

  • Availability checks on sticky notes

Casting rings to ask if Priya is free on the 14th. You check with her and call back, and a week later nobody remembers whether casting replied.

    With My Agent Called

Log the check while you're on the call. It moves from Checking to Checked, and if casting goes quiet for longer than your agency allows, it shows up on the dashboard to chase.

  • A pipeline that lives in someone's head

Submissions are in one inbox, audition times are in another, and the pencils are with whoever took the call.

    With My Agent Called

Each submission moves to its next stage when you log the audition, recall, pencil or offer. Accept the offer and the job is created and marked as booked.

  • Clients ringing for news

Actors call to ask when the audition is, whether the sides have come through, or what they're owed.

    With My Agent Called

In the client portal, each actor sees their own auditions, castings and statements. They answer availability checks there and keep their contact details up to date.

  • Working out what each client is owed

When a fee comes in, someone takes off the commission and the VAT on it by hand, then updates the client's statement.

    With My Agent Called

Record the payment and the client's share is worked out for you: the fee, less commission, less VAT on the commission. It goes straight onto their statement.

  • Two agents, one client

In a shared agency it isn't always clear who looks after whom, or how the commission is split.

    With My Agent Called

A client can have more than one agent, each with a share of the commission, and you can change the split for a single job. Agents see their own clients in full and everyone else's in outline.

  • Tapes and CVs all over the place

Self-tapes are in Dropbox, headshots are on someone's desktop, and the latest CV is in an email from last spring.

    With My Agent Called

Link each client's Dropbox folder and play their tapes from their page. Headshots and files sit on the client's record, and their CV downloads as a PDF on your letterhead.

The casting pipeline

From the first submission to the booking

Set up a production and its roles, then put clients forward one at a time or several at once. As you log auditions, self-tapes, recalls, pencils and offers, each submission moves to the right stage, so anyone in the agency can see where a client stands on a job.

  • Projects and roles, with the casting director, director and writer linked
  • Scripts and sides kept with the project and the role
  • Pencils confirmed or released, and auditions marked done, cancelled or no-show
  • Accepting an offer books the job

Availability

Know who's free, and who's waiting on whom

The availability page shows the coming weeks for the whole list, or just your own clients. Each availability check records who asked, about which client and for which dates, and you can log one from the client's page, a project, a submission or a job.

  • Checks move from Checking to Checked to Complete
  • Your agency sets how long to wait before following up
  • A diary of the next three weeks, with a feed for Google or Apple Calendar
  • A calendar of the whole agency's month

For your clients

Good news reaches them from you

Invite a client to the portal and they get their own login, in your agency's logo and colours. They see only their own auditions, castings and statements, answer availability checks, and keep their contact details current.

  • Emails to clients carry your logo and link to your agency's own address
  • Clients never see the staff side, or anyone else's details

Money

Invoices out, clients paid

Raise an invoice with as many lines as you need, with VAT worked out for each line, and send it as a PDF on your letterhead. When the money arrives, record the payment and the client's remittance is calculated and added to their statement.

  • Commission shared between a client's agents, with splits per job
  • Overdue invoices flag themselves
  • Reports on fees, commission and how many submissions become bookings
  • Sage Accounting: send invoices across and bring payments back
  • Only owners and finance staff see the money

How it works

Getting started

  1. We set up your agency

Your agency gets its own address and its own database. Add your logo and colour and it looks like yours.

  2. Bring your clients across

We'll help you move your client list in, with credits and headshots.

  3. Invite your team

Each person gets an email invite and sets their own password. You choose who can see the money.

  4. Connect what you use

Link Dropbox, your website and a Yeastar phone system if you have one. Anything you don't need can be switched off.

Security

Your clients' details stay with your agency

Every agency on My Agent Called has its own database, kept apart from every other agency's.

  • Two-step sign-in

Anyone can turn on two-step sign-in with an authenticator app.

  • Roles

Owners, admins, finance staff and agents each see what their job needs.

  • Activity log

Every change is recorded, with who made it and when.

  • Private files

Headshots and files are stored privately and only open for people signed in to your agency.

  • Signing out everywhere

Changing a password signs that person out on every other device.

  • Exports

Download your clients and invoices as spreadsheets, or the whole agency as one file.

Questions

Things people ask

Who is it for?

Actors' agencies of any size, from one agent working alone to an office with a finance team. You can switch off the parts you don't use.

Can our clients use it?

Yes. Each client can have a portal login to see their auditions, castings and statements and to answer availability checks. They only ever see their own details.

Does it work on a phone?

Yes. It works in the browser on a phone, a tablet or a computer, so there's nothing to install.

Does it replace Spotlight?

No. Casting directors still find your clients on Spotlight. My Agent Called is where you run the agency, and each client's Spotlight link sits on their profile and their CV.

Can we bring our existing records?

Yes. We'll help you bring your client list across, and you can add the rest as you go.

What happens on the demo?

We'll show you a normal agency week in the system: a casting call, an availability check, a recall, a booking and the payment. Then we'll answer your questions.
